Managing Podcasts

Launching a University Podcast

All new university-sponsored podcasts must be submitted to University Communications for review before public launch. This process helps ensure that podcasts meet university branding, accessibility, and communications standards while allowing units to maintain editorial ownership of their content. Contact uobrand@uoregon.edu.

Launch Review Process

  1. Develop Your Podcast Concept

Define the podcast's purpose, intended audience, format, production schedule, and responsible unit. Identify the individuals who will oversee content development and ongoing production.

  2. Submit a Podcast Launch Request

Email uobrand@uoregon.edu to request a review of your podcast concept. Provide the following information:

    • Podcast title and brief description.
    • Sponsoring school, college, department, or unit.
    • Intended audience and communications objectives.
    • Proposed format and publishing frequency.
    • Name and contact information for the content owner and producer.
    • Proposed cover art and branding.
    • Planned hosting and distribution platforms.
    • Anticipated launch date.
  3. University Communications Review

University Communications will review the submission for brand alignment, appropriate use of university marks, accessibility planning, and other relevant communications considerations.

Additional consultation may be requested depending on the podcast's content, distribution, or proposed partnerships.

  4. Registration and Launch

Once the review is complete and any required adjustments are addressed, the podcast may launch as an official university-sponsored podcast.

Approved podcasts will be registered with University Communications and may be included in the university's podcast directory.

Important: Podcast producers should submit their request before finalizing artwork, purchasing promotional materials, or publicly announcing a launch. Early review can help prevent unnecessary revisions and delays.

Managing an Existing Podcast

Launching a podcast is only the beginning. Maintaining its quality, accessibility, and relevance is an ongoing responsibility.

Ownership and Accountability

Every official university podcast must identify a responsible unit and designated contacts for editorial oversight and production.

The sponsoring unit is responsible for:

  • Ensuring content accuracy and appropriate editorial review.
  • Maintaining compliance with brand and accessibility requirements.
  • Managing guest permissions and third-party content rights.
  • Maintaining access to hosting platforms and associated accounts.
  • Keeping podcast contact information current.
  • Determining when a podcast should be updated, paused, or discontinued.

Podcast hosting accounts and associated credentials should be managed through appropriate university-controlled processes rather than relying solely on an individual's personal account.

Keeping Your Podcast Current

Podcast producers should periodically evaluate whether their content continues to serve its intended audience and communications objectives.

Consider reviewing:

  • Audience engagement and listening trends.
  • Publishing consistency and production resources.
  • Content relevance and opportunities for improvement.
  • Whether the podcast should continue, evolve, or conclude.

Pausing or Ending a Podcast

Not every podcast needs to run indefinitely. Limited series, seasonal productions, and completed projects can remain valuable resources after new episodes stop.

If a podcast is discontinued, the sponsoring unit should develop a plan for preserving or removing published content, maintaining appropriate access to transcripts, and updating related webpages or promotional materials.

Podcasts inactive for 12 months may be removed from the university's central podcast directory until production resumes.
