Academic Commencement Programs

Commencement programs are an official university document and keepsake for our graduating students and their families. All academic units are required to utilize the design template for official ceremony programs. The design of the templates may not be altered or customized beyond the provided cover options. Academic units who have an in-house professional designer will be responsible for the design of interior pages and making edits or revisions. If an academic unit does not have a professional designer on staff, a designer from University Communications or Student Services and Enrollment Management will be assigned to support the design needs.

To provide a high-quality product for all programs, all academic program coordinators are expected to follow the timelines and responsibilities that are outlined below.

Timeline

  • Thursday, March 7, 2024: Commencement academic program coordinator kickoff meeting and review of schedule and print cost estimates.
  • Thursday, March 14, 2024: Finalize key roles for each program (academic program coordinator and professional designer).
  • Thursday, March 14–April 18, 2024: Assigned university designers finalize program design options.
  • TRAINING Friday, April 19, 2024: 10–11:00 a.m. in 403 Ford Alumni Center: University Communications will provide a training for academic program coordinators and professional designers to utilize the templates, instructions on how to submit orders to Print Services, etc. If you are unable to attend this training or need to attend via Zoom please email uobrand@uoregon.edu. Design and Word templates for the content will be provided after this training.
  • Friday, April 26, 2024: Academic program coordinators enter production details including program cover option, quantity, billing index, delivery location, etc. into shared spreadsheet. If you need access to the spreadsheet, please email Charlie Litchfield (clitch@uoregon.edu). 
  • Monday, April 29, 2024: All 2024 graduate names will be available from the Cognos report. Academic program coordinators without access to Cognos or in need of support, should ask the admin in their schools or college or contact the Registrar’s office at uodegree@uoregon.edu. Print Services will enter all orders and add order numbers to the shared spreadsheet.
  • No later than Friday, May 3, 2024: Print-ready PDF of program cover design is due to Print Services. Please reference order number and email files to apriln@uoregon.edu cc uodigitalprinting@uoregon.edu.

Academic Units with In-house Designer

  • Monday, May 6, 2024: Honors and distinctions for cum laude, magna cum laude, etc. will be available in Cognos by this date. Professional designers should edit files accordingly to include these honors and distinctions.
  • By Wednesday, May 15, 2024: Units submit PDF design to uobrand@uoregon.edu for content review. 
  • By Thursday, May 23, 2024: University Communication editors will review content, and provide edits to the designer and academic program coordinator.
  • OPTIONAL: By Wednesday, May 29, 2024 at 4 pm: Unit designer submits final to uobrand@uoregon.edu for final content approval.
  • By Thursday, May 30, 2024: Final print files due to the University Printing Services by 4:00 p.m. Please note physical proofs may take 1-2 days, foil proofs are not available, foil color swatches are available to view onsite at Print Services. Please reference the order number and email files to apriln@uoregon.edu cc uodigitalprinting@uoregon.edu.
  • Final programs will be delivered by University Print Services to the location indicated on the order form no later than Friday, June 14, 2024. Lundquist College of Business will be delivered on June 13, 2024.

Academic Units Needing Design Support

  • Monday, May 6, 2024: Honors and distinctions for cum laude, magna cum laude, etc. will be available in Cognos by this date. 
  • By Wednesday, May 8, 2024: Academic program coordinator submits a track changes Word document with the honors and distinctions to appointed designer. 
  • By Tuesday, May 21, 2024: Appointed design team will send PDF to the academic program coordinator for final content review. 
  • By Thursday, May 23, 2024: Academic program coordinator will review content and return edits to the appointed designer.
  • By Thursday, May 30, 2024: After review of final edits by UO brand team, final print files due to the University Printing Services by 4:00 p.m. Please note physical proofs may take 1-2 days, foil proofs are not available, foil color swatches are available to view onsite at Print Services. Please reference the order number and email files to apriln@uoregon.edu cc uodigitalprinting@uoregon.edu.
  • Final programs will be delivered by University Print Services to the location indicated on the order form no later than Friday, June 14, 2024. 

School of Law Timeline

The School of Law operates on a semester system. Other production deadlines will be communicated to their team. Friday, May 10, 2024 is the due date for the final print file(s).

  • Friday, April 19, 2024: Print-ready PDF of program cover design is due to Print Services.
  • Friday, May 10, 2024 Print-ready PDF of program interior content is due to Print Services.
  • On or before Friday, May 17, 2024: School of Law programs will be delivered.
